Welcome to Vaal River Camping. These camping terms and conditions outline the official rules, policies, and safety guidelines for all guests staying at our riverside campsite in the Free State. Located just 46 kilometers from Parys and 35 kilometers from Potchefstroom within the UNESCO Vredefort Dome, our camping terms have been established to ensure the safety, comfort, and enjoyment of every visitor.

By booking a camping stand or entering our premises, you acknowledge and agree to abide by all policies and site rules outlined on this page. Whether you’re here for fishing, river tubing, family camping, or simply to relax by the Vaal River, please review these camping terms carefully before your arrival. Our campsite operates under strict safety and environmental guidelines to protect both our guests and the natural beauty of the Vaal River in the Free State.

Understanding Our Camping Terms for Check-in and Check-out

Please adhere strictly to these check-in and check-out times as outlined in our camping terms. This allows our staff adequate time to prepare camping stands for arriving guests and maintain the high standards expected at Vaal River Camping. Early arrivals or late departures must be arranged in advance and may incur additional charges depending on availability.

2. Indemnity & Enter at Own Risk

⚠️ IMPORTANT NOTICE: Entry at Your Own Risk

Entry to Vaal River Camping is entirely at your own risk. By booking a stay or entering the premises, you (the “Guest”) acknowledge that you have read, understood, and agreed to these camping terms and the following conditions:

Assumption of Risk – Key Camping Terms

The Guest acknowledges that camping and water-based activities including swimming, fishing, boating, and river tubing involve inherent risks. These activities take place in a natural outdoor environment along the Vaal River in the Free State, within the Vredefort Dome area, where conditions can change rapidly and unexpectedly.

Liability Waiver

Vaal River Camping, its owners, employees, agents, and staff shall not be held responsible for any loss, theft, damage, or destruction of personal property including but not limited to vehicles, camping equipment, electronics, personal belongings, fishing gear, or recreational equipment.

Personal Injury & Medical Emergencies

Vaal River Camping accepts absolutely no liability for any injury, illness, or loss of life of any person on the premises, regardless of the cause. This includes injuries sustained during camping activities, water sports, fishing, or any other recreational activities. Guests are responsible for their own medical insurance and emergency medical costs.

Child Supervision Requirements

Children remain the sole responsibility of their parents or guardians at all times, especially near the riverfront and water areas. Please note that there are no lifeguards on duty at Vaal River Camping. Parents and guardians must actively supervise children during all activities including swimming, playing near the water, and exploring the campsite.

Indemnification

The Guest indemnifies and holds harmless the owners, operators, and staff of Vaal River Camping against all claims, demands, actions, costs, and expenses brought by themselves, their guests, family members, or any third party arising from their stay, activities, or presence at the campsite.

3. Campsite Rules & Regulations – Essential Camping Terms

To ensure a safe, peaceful, and enjoyable environment for all nature lovers and camping enthusiasts visiting our Vaal River location in the Free State, the following camping terms and rules apply to all guests:

Noise & Conduct

  • Quiet Hours: 19:00 (07:00 PM) – 07:00 (7:00 AM). During these hours, all guests must keep noise to an absolute minimum to respect fellow campers we have a No Music policy.
  • Music Policy: No music not disturb your neighboring camping stands. No music from vehicle sound systems is permitted.
  • Behavior Standards: Aggressive behavior, public intoxication, excessive alcohol consumption, foul or abusive language, harassment of other guests or staff, or any conduct deemed inappropriate will result in immediate eviction from the campsite without any refund.
  • Respect for Others: All guests are expected to treat fellow campers, staff, and the natural environment with respect and courtesy.

Fire Safety & Environmental Protection

  • Fire Regulations: Fires are only permitted in provided braai stands or designated fire pits. Open ground fires are strictly prohibited. Never leave a fire unattended, and ensure all fires are completely extinguished before leaving your stand or going to sleep.
  • Litter & Waste: Vaal River Camping operates as a “Leave No Trace” facility. Please use the rubbish bins provided throughout the campsite. Do not throw cigarette butts, bottle caps, food waste, or any litter on the ground or in the Vaal River. Help us protect this beautiful Free State environment and the pristine Vredefort Dome area.
  • Tree Protection: Breaking branches, cutting trees, or removing vegetation for firewood is strictly forbidden. Firewood is available for purchase if needed.
  • Wildlife & Nature: Do not feed or disturb local wildlife. Respect the natural habitat and ecosystem of the Vaal River area.

Water & River Safety

  • Life Jacket Recommendation: The use of life jackets (personal flotation devices) is strongly recommended for all persons entering the Vaal River, and is mandatory for children and non-swimmers.
  • Swimming Supervision: Always swim with a buddy. Children must be supervised by adults at all times when near or in the water.
  • River Conditions: Be aware that river conditions can change rapidly. Check water levels and current strength before entering the water.
  • Alcohol & Water Activities: Do not swim, tube, or participate in any water activities while under the influence of alcohol or drugs.

Vehicle & Site Management

  • Speed Limit: A strict speed limit of 15 km/h is enforced within the entire campsite. Excessive speed will result in immediate eviction.
  • Parking: Vehicles must be parked only at your designated camping stand. Do not block roads, pathways, or other guests’ sites.
  • Site Boundaries: Respect the boundaries of your allocated camping stand and do not encroach on neighboring sites.
  • Pets: If pets are allowed (confirm current pet policy), they must be kept on a leash at all times and owners are responsible for cleaning up after them.

4. Booking, Reservation & Cancellation Policy

Booking Confirmation

All camping stand bookings at Vaal River Camping are only confirmed upon receipt of a 50% deposit. Full payment is required before arrival or upon check-in. Bookings without confirmed payment will not be honored.

Strict No Refund Policy

Vaal River Camping maintains a strict No Refund Policy. Once a booking is confirmed and payment is made, no refunds will be issued under any circumstances whatsoever.

This no refund policy applies to but is not limited to:

  • Weather Conditions: Rain, wind, storms, heat, cold, or any other unfavorable weather conditions in the Free State region
  • River Conditions: Changes in the flow, water level, clarity, or temperature of the Vaal River
  • Personal Circumstances: Illness, family emergencies, vehicle breakdowns, flight cancellations, changes in travel plans, work commitments, or any other personal reasons
  • Dissatisfaction: Any complaint about facilities, services, noise, or other guests
  • Personal Liability: Any issues arising from the Guest’s own actions, equipment failures, or decision-making

As an outdoor camping venue on the Vaal River, we cannot control weather conditions, natural events, or the personal circumstances of our guests. Therefore, the risk and responsibility of cancellation sits entirely with the Guest.

Postponement & Date Changes

While we do not offer refunds, we understand that life happens. Vaal River Camping does allow guests to move their booking to a future date under the following strict conditions:

  • Written Request Required: All requests for date changes must be sent via email to [Insert Your Email Address]. WhatsApp messages, phone calls, or verbal requests will not be accepted or processed.
  • Notice Period: Requests to move a booking date must be made at least 14 days prior to the original arrival date. Last-minute changes cannot be accommodated.
  • Credit Validity: The booking “credit” for the new date must be used within 3 months of the original booking date. After this period, the credit expires and cannot be used.
  • Availability & Pricing: Date changes are subject to availability at the new requested dates. If the new dates fall during peak season or public holidays, you may be required to pay the difference in seasonal rates.
  • No-Shows & Late Cancellations: Any “no-shows” or cancellation requests made less than 14 days before the scheduled arrival date will forfeit their payment entirely. No credit, refund, or date change will be provided.

Group Bookings & Extended Stays

Special terms may apply to group bookings of 5 or more camping stands or extended stays of 7+ nights. Please contact us directly to discuss group rates and terms for your Vaal River camping experience.

5. River Tubing Liability Waiver

Acknowledgment of Risk & Release of Liability

By participating in river tubing activities at Vaal River Camping, participants acknowledge and agree to the following:

1. Assumption of Risk

I am fully aware that river tubing is an outdoor water activity that involves inherent and significant risks, including but not limited to:

  • Strong currents, rapids, undertows, and unpredictable water flow in the Vaal River
  • Submerged obstacles including rocks, branches, debris, and underwater hazards
  • Sudden changes in water depth and temperature
  • Risk of falling out of the tube, capsizing, and potential drowning
  • Collisions with other tubers, riverbanks, or obstacles
  • Exposure to sun, heat, hypothermia, and weather conditions
  • Encounters with local wildlife, insects, or water-borne organisms
  • Distance from immediate emergency medical services

2. Voluntary Participation

I confirm that I am participating in this river tubing activity voluntarily and of my own free will. I acknowledge that I (and any minors in my care) are physically fit, able to swim, and have no medical conditions that would prevent safe participation in water activities. I understand that Vaal River Camping does not provide lifeguards, water rescue services, or constant supervision during river tubing.

3. Complete Waiver & Release of Liability

I hereby completely release, discharge, and hold harmless Vaal River Camping, its owners, operators, employees, contractors, and agents from any and all liability, claims, demands, actions, and causes of action whatsoever. I agree that Vaal River Camping shall not be held responsible or liable for:

  • Any injury, illness, disability, or medical condition sustained during the activity
  • Loss of life, permanent disability, or serious bodily harm
  • Loss, theft, or damage to personal property including but not limited to mobile phones, cameras, jewelry, wallets, keys, clothing, or any other belongings while on the Vaal River
  • Any costs associated with rescue, medical treatment, or emergency services

4. Equipment Responsibility

I agree to use the provided equipment (river tubes and life jackets) with reasonable care and follow all safety instructions provided by staff. I understand and accept full financial responsibility for any equipment that is lost, stolen, or damaged due to my negligence or misuse.

5. Alcohol, Drugs & Safety Requirements

I solemnly agree that I will not participate in river tubing while under the influence of alcohol, drugs, or any substances that may impair my judgment, coordination, or ability to respond to emergencies. I understand that:

  • The use of a Life Jacket (PFD – Personal Flotation Device) is highly recommended for all participants
  • Life jackets are mandatory and required for all minors under 18 years of age and non-swimmers
  • Vaal River Camping reserves the right to refuse river tubing participation to anyone who appears intoxicated or unfit
